Company letter, cover letter or invitation: which one do you need?
A US employer can explain employment and a trip it supports. That explanation has a different author and purpose from a Chinese partner’s invitation.

Put each statement with the person who can verify it
| Chinese partner’s invitation | US employer’s company letter | Applicant’s explanation |
|---|---|---|
| Describes the real invitation and planned business activities in China. | Explains the employer’s own employment, assignment or funding facts if requested. | Explains the applicant’s own circumstances or a discrepancy if requested. |
| Issued and executed by the genuine Chinese inviting party. | Prepared by the real employer; an authorized representative verifies and signs its own assertions. | Prepared by the applicant, who confirms the explanation is accurate. |
| For M, the Embassy checklist identifies commercial-activity documents from a Chinese trade partner. | The checked Embassy M checklist does not list a US company cover letter or company profile as a universal requirement. | The online guidance allows explanatory materials when relevant or requested; follow the specific request. |
The second and third columns are preparation guidance, not a new consular checklist. An employer letter cannot replace the Chinese partner’s document merely because both use company stationery.
If an employer letter or profile is requested
- Read the exact request: identify what fact the office wants established and which party holds that information.
- Ask the employer to confirm only facts it can support: position, purpose of the assignment, dates and its actual expense commitment where relevant.
- Use the employer’s genuine name and contact details; ask an authorized representative to verify and sign the employer’s statement. Authentic letterhead can identify the issuer, but the checked source does not establish a universal letterhead rule.
- For a company profile request, identify the actual legal entity, its business and relevant connection to the visit. Let the company provide its own factual information; do not invent a trading history or customer list.
These are practical checks. The office’s specific wording, required attachments, language and signature instructions take priority. If the request is unclear about letterhead or who must sign, clarify it with the office before assuming a requirement.
Fictional comparison — not finished letters
Fictional instructional fragments only; not customer cases or documents for submission. No company is represented. Each row shows the limits of what its author can say.
| Fictional fragment | Who writes it / what to verify |
|---|---|
| EXAMPLE ONLY · Employer records show Person A holds Role B; employer will pay airfare for the agreed visit. | Employer verifies employment and the real payment commitment. This does not establish that a Chinese business invited the applicant. |
| EXAMPLE ONLY · The proposed discussion concerns Specification C at Site D. | Chinese inviting party fills and verifies its own invitation field. Neither an employer nor a visa agency invents the host or meeting. |
| EXAMPLE ONLY · The draft contains an old passport identifier; the current identifier is deliberately omitted here. | Applicant identifies the discrepancy; inviter corrects its letter from verified passport information. An explanation does not silently amend an issuer’s document. |
Check consistency before adding more paper
Compare the payer, dates and activity across every document. If an employer funds airfare but the invitation says the host pays everything, ask both parties which statement is accurate. More letters will not resolve contradictory facts by themselves.
CEV is an independent service provider, not a consular office. CEV does not issue, ghostwrite or buy invitation letters, and does not supply an inviter. The genuine inviting party is responsible for the letter; the applicant verifies their own information; the consular office decides what to accept and whether to issue a visa. Existing form and material review can help check preparation within the selected service, without guaranteeing approval or timing.
