China business visas for employees: an employer’s coordination brief

Coordinate one trip plan while keeping each employee’s application, consular jurisdiction and passport handoff distinct. Start with a simple responsibility matrix and contact CEV through the existing support route.

One trip plan; individual application decisions

Several colleagues attending the same meetings still need their own accurate applications and supporting evidence. Residence can put employees in different US consular jurisdictions, and passport nationality or personal history can change requirements. Do not assume the group will be reviewed or finished together.

Confirm the real activity with the Chinese host. M visas address commercial and trade activity; a role involving work in China needs the appropriate route. This page explains business-trip coordination and does not offer work-permit or residence-permit services.

Assign responsibility before collecting documents

US employer / trip coordinatorBusiness purpose, role, meeting itinerary, expense payer and internal contactShare consistent trip facts; issue a truthful employer letter if requested, without treating it as a universal M-visa requirement.
Chinese hostInvitation describing the traveller, visit and inviting entitySupply its own complete, signed/sealed invitation information; correct changes at the source.
Consular officeOnline and physical-document review; requests for evidence or interviewDecides each application independently and sets issued visa terms.
CEV, within purchased scopeSelected form review, photo processing, drop-off, pick-up or tracked courier arrangementsConfirm service coverage and order-specific instructions; no common approval or completion date is promised.

Use a minimal readiness register

Keep sensitive application documents in the agreed document channel. A coordination list usually needs readiness and ownership, not passport images or credentials copied into a group email.
