These are CEV planning aids, not official forms or a required submission format. The blank files contain headers only. The example uses invented traveler IDs and no real people. Downloads contain no macros or formulas. Import as text; when adding your own content, keep spreadsheet formula prefixes such as equals, plus, minus or at-sign out of cells, or explicitly store those values as text.
Use an internal ID rather than a name. Do not add passport numbers, birth dates, identity scans, payment details or medical/custody information. Keep any identity-to-ID mapping separately with restricted access. Share only with people doing the work, and set a deletion date after the trip.
Plan backward without inventing a guaranteed timeline

The one-to-two-month recommendation is an application-planning window, not a visa validity period or completion guarantee. Count online review, consular processing, holidays and delivery separately. If the remaining time is tight, discuss a travel contingency rather than assuming an express option will solve it.

These labels are internal planning labels. Keep the official application status in its own field and never replace it with an organizer's assumption.
A practical exception list, not a delay ranking
- Missing item: name the responsible person and a specific next check date.
- Traveler changes route or purpose: pause that person's preparation and recheck requirements.
- Passport needed for another trip: resolve the competing dates before sending the original.
- One application takes longer: contact that traveler privately and maintain a departure contingency.
