# China visa organizer checklist and downloadable roster

Give each missing item an owner and each traveler a separate readiness record. Download blank CSV tools with bilingual headers and a clearly fictional worked example.

## Download a roster and a materials tracker

- [Blank traveler readiness roster (CSV, English / Chinese)](https://app.chinaentryvisa.com/guide-clusters/china-visa-for-groups/organizer-roster-blank.csv)
- [Blank materials checklist (CSV, English / Chinese)](https://app.chinaentryvisa.com/guide-clusters/china-visa-for-groups/materials-checklist-blank.csv)
- [Fictional readiness example (CSV, English / Chinese)](https://app.chinaentryvisa.com/guide-clusters/china-visa-for-groups/organizer-roster-example.csv)

These are CEV planning aids, not official forms or a required submission format. The blank files contain headers only. The example uses invented traveler IDs and no real people. Downloads contain no macros or formulas. Import as text; when adding your own content, keep spreadsheet formula prefixes such as equals, plus, minus or at-sign out of cells, or explicitly store those values as text.

Use an internal ID rather than a name. Do not add passport numbers, birth dates, identity scans, payment details or medical/custody information. Keep any identity-to-ID mapping separately with restricted access. Share only with people doing the work, and set a deletion date after the trip.

## Plan backward without inventing a guaranteed timeline

| Planning checkpoint | What to finish | What can change the plan |
| --- | --- | --- |
| Before setting the application schedule | Check route, purpose, consular jurisdiction and passport availability for every traveler. | School documents, unresolved nationality questions or another passport-dependent trip. |
| Around one to two months before travel | Los Angeles generally recommends applying in this window; check your own office's current advice. | Online review and document corrections may need additional time. |
| When physical submission is permitted | Record the actual notification and arrange the passport handoff promptly. | For Los Angeles, the FAQ describes cancellation after 30 days without required physical submission or requested corrections. |
| After collection and before departure | Reconcile returned passports, visa terms and the actual route for everyone. | Do not mark the whole group ready while anyone is still awaiting a passport or decision. |

The one-to-two-month recommendation is an application-planning window, not a visa validity period or completion guarantee. Count online review, consular processing, holidays and delivery separately. If the remaining time is tight, discuss a travel contingency rather than assuming an express option will solve it.

## Use clear status labels

| Status | Meaning in your roster | Next action |
| --- | --- | --- |
| To confirm | Purpose, route or required evidence is unresolved. | Assign a question owner and next review date. |
| Preparing | Applicant is collecting or correcting documents. | List the missing item without copying sensitive contents. |
| Online review | Application submitted for preliminary review. | Monitor official notifications; this is not visa approval. |
| Passport submitted | Physical handoff recorded. | Track the official collection status. |
| Returned and checked | Applicant has the passport and has checked its visa details. | Compare with final travel plans; do not promise border admission. |

These labels are internal planning labels. Keep the official application status in its own field and never replace it with an organizer's assumption.

## A practical exception list, not a delay ranking

- Missing item: name the responsible person and a specific next check date.
- Traveler changes route or purpose: pause that person's preparation and recheck requirements.
- Passport needed for another trip: resolve the competing dates before sending the original.
- One application takes longer: contact that traveler privately and maintain a departure contingency.

These are planning scenarios, not claims about our most common group delays or customer cases. Available group evidence is insufficient for a publishable delay ranking.
